Microsoft Outlook – Importing Contact Details from Other Applications

Importing Contact Details from Other Applications (Excel). 



Creating a Named Range. 


Select the Insert → Name → Define. 


The Define Name Dialog Box is Displayed. 

1. Enter a Name For Range.


2. Press the Add button to add the Name Range. Followed by the Ok button.


Save the spreadsheet and close down Excel. 

Open Outlook select the Contact folder. 

4. From the File menu select Import and Export.



5. Select the Import from another program or file.


6. Click Next.

7. Select The file type Excel.

8. Click Next.




9. Click on Browse to locate the Excel file containing the contact details.

10. Select one of the three options: Replace, Allow duplicated, Do not import.

11. Click Next.



12. Select the folder where you wish to import the Contact details to.


13. Click Next..

Map Custom Fields. 

You may have used different title headings in Excel, map the Excel headings to correspond to the Outlook destination headings that you wish the data to be stored in.  

Click on the Finish button to proceed 


14. Follow the detailed instruction within the Map Custom Fields dialog box.

15. Click Ok.

The Contact details will now be imported. 



Adding Contacts from Emails. 

It is possible to create a contact directly from an email that has received into your Inbox


1. Open the Email message, Right click over the email address.


A  new Contact address card will be created with the email address already entered. 

Enter any other information about the contact. 

Click Save & Close to save the contact details.
